Taking bookings

With bookings on, a patient or client books a time for one of your services without leaving the chat: they choose a day, see the times that are actually free, and leave their name and number. You confirm it on the Bookings screen, and their booking card in the chat changes to Confirmed, with Add to calendar. There is no payment in the chat: they pay at the visit.

You need your services listed first, each with how long it takes, and Customers can book this in the chat ticked on the ones people may book.

Set your hours

Under Services → Settings, turn on Take bookings in the chat and fill in:

  • Time zone — every time is shown in yours, whatever the customer's phone says.
  • Hours you take appointments — one or more ranges per day, such as 10:00–13:30 and 16:30–20:00; a day with no hours is closed.
  • Each slot is 10 to 60 minutes. A service longer than a slot takes as many slots as it needs.
  • Bookings one slot can take — the number of chairs, rooms or people working at once.
  • Book at least this far ahead, Open this many days ahead (up to 90), and Customers can cancel in the chat until — how long before the visit a customer may still cancel.
  • Closed dates — holidays and days off. Past dates drop off by themselves.

The choices under Answering customers apply here too: confirm every booking automatically, or confirm each yourself, and how many minutes may pass before a customer still waiting is shown the phone number in your business details.

What the customer does

A bookable service has a Book button on its card. It opens a strip of days — closed days are greyed out — and the free times of the chosen day. They pick one, give their name and phone number and, if they like, a note, and send the request. If somebody else takes that time while they are choosing, they are told and shown the day again; two people can never take the last place.

The booking card stays in their chat, and comes back when they return to your site days later. "Is my appointment confirmed?" or "when is my appointment?" is answered from the booking itself, without AI. The bot can never book, move, confirm or cancel anything, and never sees which times are free, so it cannot promise one. It does know your hours and closed dates, so "are you open on 25 December?" gets a straight answer.

The Bookings screen

Waiting for you lists the requests to answer: Confirm or Decline, with a reason the customer reads. Below it is the chosen day in time order, in your time zone. Once a visit's time has come, mark it Mark completed or Mark missed; a request whose time passed before anyone answered can only be declined. Cancel booking frees the slot at any time before the visit.

New requests chime and raise the badge like orders; while the Bookings screen is open, a customer's own cancellation chimes too. Each request is also emailed to your bot's contact email, or to the business's owners when there is none — it says when a note was left, never what it says. One chat can hold three open bookings at a time. All bookings lists them with filters and Export CSV.

WhatsApp alerts

The same WhatsApp alerts switch is in the Bookings screen's header: each request reaches the phone you sign in with as a WhatsApp message — the service and the time, with a link — and one reminder follows if nobody has answered it within your waiting time. The note is never in it.

The note stays with you

Patients write symptoms in that note. It is shown on the Bookings screen and in its CSV export, and nowhere else: it is never sent to the AI and never put in an email. The customer's name, phone and note are erased after 180 days. See Your data.

One calendar covers the whole business; separate calendars per doctor or stylist are not available yet.
